Job Summary
The Office Administrator oversees daily operations at CCM’s San Diego office, handling scheduling, correspondence, and vendor coordination to support our legal and accounting teams. In this efficient, 2025-founded firm, you’ll enable seamless workflows that underpin ethical fee recovery for attorneys nationwide.
Key Responsibilities
- Manage calendars for attorneys and staff, booking meetings, court dates, and client calls.
- Handle incoming/outgoing mail, email triage, and phone inquiries with professional discretion.
- Order supplies, negotiate with vendors, and maintain office equipment/inventory.
- Coordinate travel arrangements for CLE events or depositions.
- Prepare and distribute internal memos, reports, and meeting agendas.
- Assist with HR tasks, such as onboarding paperwork and benefits enrollment.
- Maintain office filing systems, both physical and digital, for compliance.
- Support event planning for team-building or client appreciation activities.
- Track expenses and process reimbursements accurately.
- Ensure office adheres to health/safety protocols and accessibility standards.
Required Qualifications
- High school diploma; Associate’s in Business Administration preferred.
- 3+ years in office administration or executive support.
- Proficiency in Microsoft Office, Google Workspace, and scheduling tools (e.g., Calendly).
- Excellent organizational and multitasking abilities.
- Strong customer service orientation.
Preferred Qualifications
- Experience in legal or professional services offices.
- Knowledge of basic compliance for administrative tasks.
- Certified Administrative Professional (CAP).
- Bilingual capabilities.
