Legal Intake Specialist

Job Summary

As the first point of contact at CCM, the Legal Intake Specialist reviews engagement documentation from referring attorneys, collects essential information, and ensures cases meet compliance standards before acceptance into our ethical fee recovery pipeline. Founded in 2025 to provide hassle-free collections for law firms nationwide, CCM relies on this role to maintain high-quality intakes that align with our contingency-based, compliant model.

Key Responsibilities

  • Conduct initial consultations with referring attorneys via phone, email, or secure portal to gather case details, including unpaid balances and fee agreements.
  • Review submitted documentation for completeness, verifying compliance with statute of limitations, ethical billing standards, and CCM’s acceptance criteria.
  • Prepare intake summaries and risk assessments, flagging issues like disputed fees or incomplete records for attorney review.
  • Coordinate with clients to obtain missing information, such as signed authorizations or debtor contact details.
  • Input new cases into the CRM system, tagging for priority based on recovery potential and urgency.
  • Educate referring attorneys on CCM’s process, including contingency terms and ethical safeguards, to build trust and encourage referrals.
  • Track intake metrics (e.g., conversion rates, documentation gaps) and report monthly to optimize onboarding efficiency.
  • Ensure all intakes adhere to data privacy protocols, securely handling sensitive client files.
  • Collaborate with the Compliance Officer to pre-approve cases involving complex ethics (e.g., ongoing attorney-client relationships).
  • Follow up on accepted cases to confirm smooth handoff to collections teams.

Required Qualifications

  • Bachelor’s degree in Business, Legal Studies, or related field.
  • 1-2 years in legal intake, client services, or administrative roles in a law firm or collections agency.
  • Understanding of basic contract law, fee agreements, and debt collection regulations.
  • Excellent interpersonal skills for client-facing interactions and conflict resolution.
  • Proficiency in CRM tools (e.g., Clio, Salesforce) and secure file-sharing platforms.
  • Detail-oriented with strong written communication for documentation review.

Preferred Qualifications

  • Paralegal certification or experience in legal support.
  • Knowledge of California Bar rules on fee recovery and referrals.
  • Experience with virtual intake tools like Zoom or DocuSign.
  • Background in the legal industry for rapport-building with attorneys.
